Terms and Conditions

• How to book
Complete the booking form and send to Cycle Kerala, together with your initial deposit of £200 per person to reserve your place on the tour. (Cheques made payable to Cycle Kerala Ltd). The balance is due 8 weeks prior to departure. If you are booking the tour less than 8 weeks prior to departure the full amount of the tour price will need to be paid.

• Surcharges
We reserve the right to make surcharges before booking and once you have booked but no surcharges will be imposed within 30 days of departure. Surcharges will only be imposed for variations in:
a. Transport costs, including the cost of fuel.
b. Dues, taxes or fees chargeable for services such as landing taxes or embarkation or disembarkation fees at airports.
c. Variations in flight prices. Any increase to the price which exceeds 10% of the total holiday cost will entitle you to a full refund if you so wish.

• Joining the tour locally
If you would like to join the tour locally please contact us at Cycle Kerala to arrange this.

• Your financial protection and security
To protect your holiday all monies paid to Cycle Kerala Ltd for the tour are held in a Clients Trust Account. A Trustee acting on your behalf administers the account. Monies are not released to Cycle Kerala until the satisfactory completion of your holiday. This protection fully satisfies the requirements of EC and UK law. Trustee's details can be obtained on request.

• Changes by you
If you want to change your booking this must be done in writing. If you change your booking the following charges will apply.

Less than 8 weeks prior to departure £40
More than 8 weeks prior to departure £20

• Cancellation of tour - by you
If you wish to cancel your booking, this must be done in writing. In the event of cancellation the following charges are payable: Less than 8 weeks prior to departure 100% More than 8 weeks prior to departure deposit only.

• Failure to pay
If you do not pay the balance of your holiday cost within 8 weeks prior to departure, your booking will be terminated and you will loose your deposit.

• Cancellation of tour - by Cycle Kerala Ltd
Cycle Kerala reserve the right to cancel your tour in any circumstances. However we will not cancel your tour unless 1. We do not have a sufficient number of people to run the tour (min 5) 2. We are forced to due to political unrest, war, threat of war, disaster or terrorist attack. Under these circumstances we will refund all monies paid to Cycle Kerala or offer you an alternative date.

• Change of itinerary/tour dates
We plan our tour arrangements in advance and although it is unlikely that we will make changes, it does occasionally happen. Most changes are of a minor nature and we will advise you at the earliest possible date. You must be prepared to be flexible and agree to changes where necessary. No monies will be refunded due to changes in the Itinerary. Tour dates may also change due to flight timetables. If a tour date changes and you are no longer able to make that tour, we will offer you alternative dates (subject to available places).

• Insurance
It is a condition of booking that all persons travelling with Cycle Kerala Ltd have adequate insurance which must cover cancellation, medical expenses, personal injury, death, repatriation, loss of luggage. Cycle Kerala Ltd cannot accept responsibility for any costs you may incur due to insufficient insurance cover.

• Holiday participation
It is necessary that you abide by the authority of the tour leader who represents the company. Signing our booking form signifies your agreement with this, and if you commit any illegal act when on the holiday, or if in the opinion of the tour leader your behaviour is causing or is likely to cause danger or distress to others, we may terminate your travel arrangements without any liability on our part. If you are affected by any condition that may affect you or other people’s enjoyment of the tour you must advise us at the time of booking.

• Flights
We purchase flight tickets from a fully IATA and ATOL bonded agent. UK departure tax is included in the flight price, which is based on economy class scheduled flights. All flights are subject to the conditions of the carrying airline. Cycle Kerala cannot be held responsible for any delays/cancellations of flights. Where long flight delays result in lost holiday time, no refunds will be given.

• Complaints
If you have a complaint about the holiday you must make it known to a tour leader as soon as possible. The leader will then take appropriate action. If you are not satisfied with the action taken you must contact us (in writing) within 35 days of your return date.

• Information provided by Cycle Kerala
Any information provided by us on matters such as permits, visas, vaccinations, climate, clothing, baggage, special equipment etc is given in good faith but without responsibility on the part of the company. Each passenger accepts responsibility for obtaining his or her own visas and travel documents required for the holiday.
